1. Who We Are

MNB Technology UK Limited ("MNB", "we", "us") is registered in England and Wales (Company No. 15742711). Our registered office is 3 Hatherleigh Close, Chessington, KT9 2QY, United Kingdom.

2. What Data We Collect

You can request contact by submitting our contact form or your name and email in Nina. Opening Nina alone does not send an enquiry. Before you submit your email, Nina explains that this requests follow-up from MNB Technology.

• No tracking or cookies: We do not use cookies or tracking technologies to collect information about your browsing activity.
• Contact form data: If you choose to submit our contact form, we collect the information you provide: name, email address, organisation name, and any message content.
• Nina enquiries: Submitting your email sends your name, email and a generic follow-up request to our Google-hosted contact service. This happens before topic selection; subsequent questions and the conversation transcript are not submitted with this enquiry. Requesting follow-up does not subscribe you to marketing.
• Nina continuity: Your name, up to eight messages, topic choices, panel state and enquiry status are held in this tab’s session storage on the same site address. The email field is not saved in that history. Start again resets local information but cannot withdraw an enquiry already sent. Closing the tab normally ends the storage session; browser session recovery may restore it.
• No analytics: We do not use analytics services that track your behaviour on our website.

3. Legal Basis for Processing (UK GDPR)

We process the information you provide through our contact form or Nina to handle your requested enquiry, and Nina’s tab storage to continue your conversation. The legal basis is:

• Legitimate interests (Art. 6(1)(f)): to respond to your enquiry and evaluate whether there is a basis for a business relationship.
• Contract (Art. 6(1)(b)): if you subsequently enter into a contract with us.

4. Data Handling & Retention

Personal information provided through our contact form or Nina is used to handle your enquiry. Resetting Nina only resets its local conversation; it does not delete information already submitted to our contact service. For details of enquiry retention or to request deletion, contact privacy@mnbtech.co.uk. Please do not put credentials, confidential documents or sensitive account details into Nina.

5. Data Sharing

Contact-form and Nina enquiries are transmitted to our Google Apps Script contact service for handling by MNB Technology. Nina does not send your conversation to an AI service. We do not sell your personal data or share it with third parties for marketing or profiling purposes.

6. Regulatory Status

We act as a Data Controller for enquiries and have assessed our processing against ICO fee exemption criteria. Our use of personal data falls within exempt purposes for advertising, marketing and business records, so no ICO fee is payable.

7. Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the right to access, rectify, erase, restrict, object to processing, port your data, and withdraw consent. To exercise any right, contact privacy@mnbtech.co.uk. You may also lodge a complaint with the ICO at ico.org.uk.

8. Cookies

Nina does not set cookies or use advertising or analytics tracking. It uses tab-scoped session storage for the conversation you request. See our Cookie Policy for storage details and the website’s separate cookie preferences.

9. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be highlighted on the website. Continued use of the website constitutes acceptance of the updated policy.
